Meta-Data Programming Process
This is a general outline for the cloning, locking, linking, and meta-data report generation for multiple systems. This is an estimated timeline to serve as an example. Exact dates and timelines will depend on the number of systems, the desired features, the complexity of reports, timely feedback and turnaround, and contract ammendments with new development requests.
1. Prepare the umbrella system for cloning.
a. Load all custom case fields, case types, etc.
b. Set up field data.
c. Set up fields to allow inactive entries at lower levels (eg for individual center data not included in meta data)
d. Create new “relationship” association between parties
2. Administrator and small user group test and approve the umbrella system.
The purpose is just to make sure the necessary initial entry fields are all in place.
3. Clone the umbrella system.
This will copy and lock all umbrella-level fields, and allow users access to their final facility instances.
4. Small user group gets initial series of online training with the goal of testing and approving the cloned systems.
Center-level field entry can begin. This includes entry of center-only custom fields as well as lower levels of detail on referral sources and case types.
5. Complete additional base programming
After training, this work can be completed by center administrators or superusers. This can happen concurrently with testing.
a. Customize staff records and access levels
b. Customize participant custom fields and demographic information
c. Customize center-specific time and billing tracking
6. Set up general training program after center custom fields have been added (item 5).
7. Begin general use by Centers.
Invite admin, staff, and volunteers to begin using system. This may overlap with training as needed.
8. Complete umbrella meta-data reports.
While programming can begin concurrently with training/ general use/ import, at least one month of actual case/calendar/activity data would be desirable at this point to help test report accuracy.
9. Final system review and approval.
The one-time price for meta-data reporting depends on the complexity of the reports required. The ongoing annual price for each center depends on the number of their annual cases, as described here.
